I’ve taken a close look at Calendly from the perspective of an independent soccer trainer — someone who works with individual players, small groups, parents and families, and potentially runs training as a serious business.

So, is Calendly worth using for soccer training?

Let’s break it down.

What is Calendly?

Calendly is an online scheduling platform that allows clients to book time with you based on the availability you set.

Instead of sending messages back and forth trying to find a time, you give the parent your Calendly booking link.

They see your available times, choose one, and the appointment is automatically added to your calendar.

Calendly has expanded well beyond simple scheduling. Its current platform includes calendar integrations, automated reminders, payments, packages, invoices, integrations with other software, and website booking options.

For a soccer trainer, that means it can potentially become more than just a booking link.

It can become part of your entire client-booking process. A market can be large without being attractive if it's already saturated with private trainers.

Why Would a Soccer Trainer Need Calendly?

Let’s start with the biggest problem it solves:

The back-and-forth.

Imagine a parent messages you:

“Hi Coach, do you have any availability for my son next week?”

Without a scheduling system, you might reply with several options.

“Monday at 4:00, Tuesday at 5:30, Wednesday at 6:00…”

Then they respond:

“Tuesday doesn't work. Anything Thursday?”

And you're back to checking your calendar.

Calendly changes that conversation.

You can simply send:

“Absolutely. Here’s my booking link. Choose whatever time works best for you.”

The parent handles the booking.

You coach.

You could use this for two, three, four, or more players depending on how you structure your sessions.

Player Evaluation

30-minute assessment

Useful for new players who want to understand where they currently are and what they should work on.

Parent Consultation

20-minute consultation

This could be useful for discussing development plans, training goals, or questions about a player's program.

Calendly's paid Standard plan currently supports unlimited event types, while the Free plan is limited to one event type.

For a trainer offering several services, that's an important difference.

What About Payments?

This is one of the biggest developments for coaches.

Calendly now includes built-in payment functionality, allowing businesses to collect payments through Stripe or PayPal. Its payment tools can support upfront payments, payment links, packages and invoices.

Think about how this could work for a soccer trainer.

That's a much cleaner process than:

“Hey, can you Venmo me when you get a chance?”

You can also use payment links for things that don't necessarily need to be attached directly to a booking.

And Calendly now supports multi-session packages, which could be particularly interesting for trainers selling blocks of training rather than individual sessions.

This is one feature I'd pay close attention to if you're trying to build a serious training business.

Instead of selling:

One session — $75

You could structure your business around:

5-session development package

or

10-session player development package

The idea is simple.

A parent purchases the package, and the player schedules the sessions over time.

Calendly's current payment features include meeting packages for prepaid sessions.

That can make the business model feel much more professional.

Instead of constantly asking:

“Do you want to book another session?”

You can build a longer-term development relationship.

Calendly Can Help Reduce No-Shows

Let's be honest.

No-shows are frustrating.

You've blocked out an hour.

You've potentially traveled to a field.

You've prepared the session.

And then the player doesn't show.

Calendly provides automated reminders and workflows designed to reduce missed meetings and keep clients informed.

For a soccer trainer, reminders could be particularly useful because you're often dealing with busy parents.

A reminder can make sure the family remembers:

Training tomorrow at 5:00 PM.

That doesn't guarantee everyone shows up, of course.

But it removes one more thing you have to remember to do manually.

If you already have a website for your soccer training business, you don't necessarily want someone to visit your site and then have to text you to schedule.

What Does Calendly Cost?

This is where I'd recommend thinking about your business rather than simply asking:

“What's the cheapest option?”

Calendly currently offers a Free plan and paid plans.

The Free plan includes one event type, one calendar connection, one-on-one scheduling and a customizable booking page.

The current Standard plan is listed at $10 per month when billed annually and adds features such as unlimited event types, multiple calendar connections, automated reminders, and Stripe/PayPal payment integrations.

For an independent trainer, that distinction matters.

If you're only looking for a basic booking link, the Free plan may be enough to test the concept.

But if you're trying to run multiple services and collect payments through the booking process, the paid plan becomes much more relevant.

What I Like About Calendly for Soccer Trainers

From a coaching-business perspective, there are several things that stand out.

1. It removes scheduling conversations

This is probably the biggest benefit.

You don't need to spend your evening negotiating appointment times.

2. It makes you look more professional

There's a difference between:

“Text me when you want to train.”

and

“You can book your next session here.”

A proper booking system makes your operation feel more established.

3. It gives parents control

Parents can look at your availability and choose a time that works for their family.

That's especially useful when you're working with younger players.

4. It can automate reminders

You don't have to personally remember every appointment.

5. Payments can be integrated

You can potentially combine booking and payment instead of managing the two separately.

6. It can grow with your business

You can start with individual sessions and eventually introduce packages, group sessions, consultations and other services.

Where Calendly May Not Be Enough

Now for the other side of the review.

Calendly is a scheduling platform.

It's not a complete soccer academy management system.

That's an important distinction.

If you're looking for software that handles things like:

  • Player development records

  • Soccer-specific assessments

  • Player attendance

  • Detailed training plans

  • Team rosters

  • Soccer curriculum

  • Player statistics

  • Video analysis

  • Communication with entire teams

  • Academy administration

Calendly isn't designed specifically for that.

Its strength is scheduling and the business processes around appointments.

So I wouldn't look at Calendly as a replacement for every piece of software your training business might eventually need.

I'd look at it as the scheduling and booking layer of your business.

Calendly vs. Simply Using WhatsApp or Text Messages

This is probably the real comparison for many independent trainers.

Not Calendly vs. another scheduling platform.

It's:

Calendly vs. texting everyone manually.

And if you're training five players a week, manual scheduling may not bother you.

But imagine you have:

30–40 active players.

Now multiply that by parents asking about availability, rescheduling sessions, cancellations, payments and reminders.

Suddenly, scheduling becomes a job.

That's when a tool like Calendly starts making much more sense.

A Simple Calendly Setup for an Independent Soccer Trainer

If I were setting up Calendly for a solo soccer training business, I wouldn't make it complicated.

I'd start with something like this:

Booking Option #1

Individual Soccer Training — 60 Minutes

Booking Option #2

Small Group Training — 90 Minutes

Booking Option #3

Player Assessment — 30 Minutes

Booking Option #4

Parent/Player Consultation — 20 Minutes

Then I'd connect my calendar, establish my coaching hours and add reasonable buffers between sessions.

I'd also consider requiring payment upfront for certain types of sessions.

The goal isn't to create a complicated technology process.

The goal is to make booking easy for the parent and easy for me.

My Biggest Tip: Don't Over-Automate the Coaching

There's a temptation when you discover automation tools to automate everything.

I wouldn't.

The relationship between a coach, player and parent is still incredibly important.

Calendly should handle the repetitive administrative work.

You should handle the coaching.

Let Calendly answer:

“When are you available?”

Let Calendly handle:

“Here's your reminder.”

Let Calendly potentially handle:

“Here's your payment.”

But when a player needs feedback, encouragement, accountability or a conversation about their development?

That's where you come in.

Is Calendly Worth It for an Independent Soccer Trainer?

If you're an independent soccer trainer who is still managing bookings through texts, WhatsApp messages, Instagram DMs and emails, Calendly is worth considering.

The biggest advantage isn't that it gives you another piece of software.

It's that it can remove administrative friction from your coaching business.

You can create booking options, control your availability, automate reminders, connect calendars and, on supported paid plans, take payments and sell packages.

And Calendly is continuing to expand beyond basic scheduling. In 2026, the company introduced additional tools including AI scheduling assistant Callie and Notetaker, although those features are not necessarily something an independent trainer needs on day one.

My advice?

Start simple.

If you only need one booking type, try the Free plan.

If your training business has multiple services and you want payments, reminders and more flexibility, look at Standard.

And most importantly, don't buy software just because it has a long list of features.

Buy it because it solves a problem.

For an independent soccer trainer, the problem Calendly solves is pretty straightforward:

Stop spending your coaching time trying to find a time to coach.

Set your availability.

Send the link.

Let the player or parent book.

Then get back to what you actually got into this business to do:

Coach.
